Court Reservations & Scheduling Management
One of my key contributions to the pickleball club was introducing the idea of having a centralized reservation calendar that the public could easily access. Before this, reservations were handled informally, which often led to confusion, overlapping bookings, and unnecessary back-and-forth communication. By setting up Teamup Calendar as our primary scheduling tool, I created a transparent and reliable system where players, members, and even visitors from neighboring towns could check real-time court and coach availability anytime.
To ensure accuracy, I first coordinated directly with players and coaches before plotting any schedules. I would call the site contacts or person-in-charge to confirm availability and align on the best time for visits or training sessions. Once confirmed, I logged all bookings into the calendar, which became the single source of truth for reservations and availability. This proactive approach helped minimize conflicts, reduce delays, and improve trust in our booking process.
I also enhanced the calendar’s usability by customizing it with color codes, labels, and visual markers to indicate the status of each reservation—whether confirmed, pending, rescheduled, or cancelled. This made it easier for both the team and the players to quickly understand the schedule at a glance without needing further clarification.
Beyond just logging reservations, I also handled the end-to-end booking process:

Answering inquiries on the club’s Facebook page regarding court schedules, fees, and coach availability.

Accepting payments from players and members, ensuring each booking was secured and confirmed.

Uploading receipts and validating payments before finalizing reservations in the calendar.

Coordinating with coaches to align training sessions with court availability.
This system didn’t just organize scheduling—it also became a valuable customer service tool. Players appreciated being able to check schedules themselves, which gave them confidence that their booking was secure. Coaches also benefited from having their training schedules aligned with court availability, making their sessions more efficient.
Overall, the Teamup Calendar transformed the club’s operations by improving transparency, reducing miscommunication, and streamlining workflows. It also elevated the club’s reputation, showing that even as a startup sports community, we were able to provide a professional, structured, and player-friendly booking experience.
