Calendar Management & Appointment Setting

As the Sales and Support Supervisor, one of my key responsibilities was ensuring that all schedules of the sales team and our engineers were properly aligned and on track. I used Teamup Calendar as a scheduling tool to help my team and other departments stay coordinated with the engineers’ availability and ongoing tasks. It served as a centralized platform where everyone could easily view the engineers’ schedules, especially when submitting service or site visit requests.
Before plotting schedules, I first coordinated with the site by calling the person in charge to confirm availability and align on the best time for our engineers’ visit. This process helped secure accurate scheduling and minimized the chances of delays or conflicts on the ground.
To make the calendar more efficient and visually intuitive, I added custom stickers and color codes to indicate the status of each scheduled task—such as successful, cancelled, rescheduled, or pending. This made it easy for team members and other departments to quickly understand the status of any appointment or job at a glance, without needing direct confirmation.
This method improved transparency, reduced scheduling conflicts, and helped ensure that all stakeholders were updated in real time. It also encouraged better communication between teams and allowed for smoother coordination across departments.
