Job Description:
Worked as a virtual assistant on a third-party company working for costumer insurance through medical facility canvasses. There are two departments namely medical records wherein the team utilize treatment facilities in their database as the resources to obtain costumer records such as hospital, clinic, pharmacy and doctor records in a quick and efficient manner. On the other hand, medical canvass is a direct search of a predetermined area, developed by injury specifics, medical specialty, directed request and address history, the goal is to determine if the subject has received treatment at a certain location. If records are present, then we determine the specifics required by the facility or provider to secure the files. CanvassMD was a company founded in 2016 by Mark Hernandez and Jason Hessom, two insurance industry veterans but just on December 2022 the company is now acquired by Lemieux & Associates which is one of their high-yield clients.
I was not able to save much of my output out of all the many tasks I’ve been doing back then but I have one sample work that I can provide which I unconsciously saved it not knowing it’ll be useful for my portfolio
I initially started working under records department and my duties where to call medical facilities for a follow up of our request (medical records), I also create request letters especially for new cases coming in everyday and then send them out through fax or mail. After 1 month I was then transferred to medical canvasses, all of us were flexible and was trained on all process so anytime we can shift to and fro from which department especially when the other dept. lacks man power. Going back, my duties in medical canvass was mere clerical, I create call lists (please see photo above). Call lists are the basic unit for the department to function, callers would be dialing all the ones in the list and confirm if the subject/patient has received treatment at a certain location, I also create the final report to be sent back to the costumer that serves as the result from canvassing and of course we would note everything we did in that day and finish it with an EOD Report.
Tools and Applications Used:
· Google Maps - maps are widely used to check locations and zip code every time I create call lists
· Yellow-pages.ph - a telephone directory used for me to quickly come up a call list
· Yelp.com - same with yellow-pages also an online tel. directory
· Monday.com - this is where we manage our tasks and workflows especially in records, its in here
we track whether a case is closed or on going.
· Dropbox - our main storage for all our files and documents
· Canva - we create business posters here
· Ring Central – mainly used to dial medical facilities and communicate with our manager and
team leads.
· Gmail- main website used to receive important announcement and final reports.
· Google chat – where we connect and message members of the team most of the time.
