SALES and ACCOUNTING
This work is funding of the digital wallets of the customers also known as GPO retailers. And I do the processing of the funds and the reconciliation of the sales agents' remittances vs their respective sales.
1. GPO Sales agents will send their requests through our Viber group chat. I will then encode their request on the GPO portal, under the WALLET IN menu > Create Request.
In the request type, select SINGLE WALLET IN.
I input the GPO ID of their customer, the amount requested and in the remarks is the name of the sales agent. Then, click submit.
This is where I review the details of the request I encoded and once everything is correct, I click CONFIRM.
It will be then forwarded in the approval section wherein our supervisor will either approve or reject the fund request.
Here in the WALLET IN > PENDING APPROVALS tab we will see the requests for approval.
2. Once approved, the fund will be credited to the GPO retailers account and could be check in the DISTRIBUTOR WALLET LOGS tab. This is where I also generate the sales report for the day. Select the date range and click filter to see the transactions.
Transaction details will be shown - Transaction ID, Amount credited to the customer, GPO retailer ID, References (which are the sales agents names), the company's running wallet balance, type of transaction, and the date and time of the transactions. Then, once you click the GENERATE REPORT, a csv file will be downloaded.
3. The csv file I downloaded will look like this and this is where I do my reconciliation of sales and remittances of the sales agents. By filtering the data by Reference (or sales agents names). I will tally their sales and match with their remittances. The proof of remittances (e.g. bank deposit slips) are also sent to the Viber group chat, which I will be recording in the excel sheet. Also, we keep a record in the columnar which serves as our wallet ledger and all deposits or remittances are being verified by our Finance Manager, as this is directly reported to her.
