❑ Executive Support
• Provide administrative and secretarial support
• Actively take responsibility for providing the support required
• Confidentially use initiative when action needs to be taken
• Develop and maintain effective relationships with all internal and external customers
• Make an ongoing contribution to systems development and quality improvement
❑ General Administration
• Perform word processing duties with care and consideration, often involving confidential material
• Proactively compose and type letters on routine matters for approval
• Answer questions and provide information in order to save time
❑ Correspondence & Record Keeping
• Respond in a timely fashion to correspondence, filling etc.
• Actively manage (including screening) mail, telephone calls, emails, letters and visitors
• Maintain paper and electronic filing systems of correspondence, records etc.
❑ Registrations
• Perform portal registrations (SAP Ariba, ADERP, etc.)
❑ Letter of Assistance & Security Passes
• Preparing request for letter of assistance and other necessary documents for security passes requirement
❑ Tendering and Proposals
• Preparing tenders and proposals as directed by the Superior
• Reviewing scope, site visits, pricing, and finalization of tenders/proposals
• Online bidding support
• Preparing request for tender bid bond as per the tender requirement
❑ Purchase Orders and Contracts
• Preparing Contracts as directed by the Superior
• Reviewing scope, pricing, terms and conditions and finalization of Contracts
• Preparing request for bank guarantee as per the contract requirement
❑ Sales Request, Invoices and Credit Notes
• Preparing sales request, invoices and credit notes
• Reviewing supporting documents (attendance sheets, delivery notes & any related email, contracts and purchase orders) for sales requests, invoices and credit notes.
❑ Other Duties
• Act on the Superior’s behalf in certain routine matters in his absence
• Be available for duties outside normal office hours from time to time in order to meet deadlines
• Liaise/Co-ordinate activities with various department/employees.
• Assist and perform other related duties as assigned.
