ADMINISTRATIVE TASK
• Managed documentation from start to finish
• Preparing necessary documents
• Keep an updated record of all names, addresses, telephone numbers and other pertinent information regarding unit owners, contractors and other persons related to the property.
• Coordinates with Sales Representatives with regards to clients documents.
• Ensuring that all client calls and complaints are recorded and, if possible, responded to within the day.
FINANCE TASK
• Prepare all billings to unit owners and ensure that all bills are paid by the tenants on or before the specified dates. Monitor receipt of payments and ensure that all payments made are promptly deposited.
• Ensure that all accounting and bookkeeping procedures are strictly complied with.
• Receives incoming documents.
• Maintains directory of clients such as contact numbers and address.
• Keep files in order of Sales Admin.
• Answers queries of clients.
• Prepares transmittals for outgoing documents.
• Update files of clients.
• Transmit documents to clients via courier /messenger.
• Monitor documents that were sent out.
• Prepares appointment letter for brokers.
• Coordinates with the property specialist regarding lacking documents of clients.
• Evaluate documents of clients that were submitted by new buyers.
• Monitors documents of clients that are due for turnover, preparation of contract to sell or deed of sale.
• Evaluate documents submitted by clients for application of membership.
• Monitor status of membership documents and schedule of interview to Belle Corp.
• Coordinates with secretaries of signatories for signature of various documents.
• Prepares Notice to Proceed of contractors if needed.
• Keeps and maintains file of clients and contractors
• Transmits Notice to Proceed to signatories for their signature.
• Keep records of transmitted documents.
• Coordinates with the messenger for the documents that are needed for pick-up.
• Prepares Contracts for Clients
• Process end-to-end employment functions
• Maintains Employees database system
• Constantly creates employees contracts
• Creates online job posting
• Comply with administrative tasks ordered by HR Manager
• Conducts Orientation to newly hired employees
• Process employees transfer, promotion, resignation, separation, and termination and documents personnel action form.
Analyzing engagement data, identifying trends in customer interaction and planning digital campaigns to build community.
Search the Internet for information on a wide variety of topics.
Promote companies' products and services by developing copy for websites, social media, marketing materials.
Supports customers by providing helpful information, answering questions, and responding to complaints.
