• Assists in all possible works: plans and/or attends meetings and takes detailed minutes, prepares needed documents and presentations for all affiliates, screens and answers incoming calls for the CEO/CFO
• Review and analyze incoming documents (includes contracts, cheques, and all other documents) before handing over to the CEO/CFO for signature and approval
• Fully involved in all activities of the CEO/CFO, with personal responsibility for some ongoing areas, e.g plans and schedules, high profile conferences etc.
• Supervises Executive Assistants and delegates tasks and other responsibilities to other staff members when necessary
• Performs other functions as may be required by the CEO/CFO from time to time
• Arrange flight bookings, hotel accommodation in every trip of the CEO/CFO and Executives
• Drafts memos and other announcements from the Office of the CEO/CFO
• Acts independently, referring matters to other executives for action as appropriate.
• Handles highly confidential information
• Carries out special work projects related to the company operations
• Perform general office duties such as ordering supplies, maintaining records and management systems
• Open, sort, and distribute incoming correspondence, including faxes and email
• Prepare and collect documentary requirements for all applications in terms of permits and contract acquisition, project registration to government agencies, project loan applications and insurance acquisition
• Maintain project database by entering data, completing data, backups, updates and records
• Participate in the development and fulfillment of contract requirements
• Prepares and develops a records management system, maintain and recommend changes to records system when appropriate
• Organize and handles big corporate events such as annual team buildings, Christmas party, and company anniversary
