1. Assist the Properties and Facilities Directors in supervising and monitoring the day-to-day operation and
maintenance of various real estate properties and offices covering but not limited to the following: tenant
satisfaction, building operation, permits and tax compliance, expense monitoring, insurance, etc.
2. Annual Budgeting: Assists in the preparation of the annual operating and capital expenditure budget of the
property. Monthly monitoring of budget thru SAP.
3. Assist the Properties and Facilities Director in ensuring that the managed facilities and properties comply
with the submission of reportorial requirements such as operating expense, utility consumption, permits
compliance, contract renewals, etc.
4. Assist in the processing of cash advances, liquidation, reimbursements, booking reservations, etc. via
Concur
5. Reviews and endorses property/facility management billings to Finance
6. Creates requisitions and purchase orders via an online system called Ariba
7. Quarterly updating of the outsourced roster to IT for access and monitors employee movement of the
outsourced service provider
8. Assist in punch listing activities and building audits.
9. Performs other responsibilities and duties periodically assigned by supervisor in order to meet operational
and/or other requirements
10. Others:
a) Assists in selling commercial properties
b) Communicates with licensed real estate brokers to market the properties for sale
c) Working on behalf of the company (seller) by negotiating with direct buyers to try and execute a
purchase
d) Prepares documents and executes the Deed of Absolute Sale for sold properties
e) Process commission for brokers for successful transactions
1. Handling tenant-related concerns such as but not limited to:
a) Sourcing of prospective tenants to lease out vacant spaces in the building
b) Marketing of office spaces for lease
c) Answering prospective tenant inquiries

d) Handling lease negotiations for new and renewal leases
e) Monitoring of contract expiration of tenants and recommending renewal rates and lease terms
f) Preparation and execution of Lease Offers and Lease Contracts
g) Facilitate commercial viewings/appointments to show available units to prospective tenants as well
as accompanying them during site visits and inspections
h) Coordinating tenant facilities-related concerns to the landlord

2. Assists Finance by uploading contract rental conditions /payment schedules of tenants thru a financial
online tool, SAP
3. Prepares monthly Leasing and Marketing Reports
• Responsible for managing building and equipment maintenance schedule
• Vendor Management: Serves as liaison between the company employees and outside contractors who may
be called in to fix problems inside the building
• Monitors pantry and toilet supplies
• Responds to urgent maintenance calls
• Processing work permits and gate passes
• Serving employee facilities requests via an online tool (Maximo)
• Conducts daily facilities walkthrough in the building
