Electronic updating and filing of historical and present files/data of the section.
Provides administrative support to all personnel concerns within the section, including the preparation of work schedules and the management of leave and overtime applications.
Fulfills the roles and responsibilities associated with the ISO 9001:2015 core teams membership.
1. Documented Information Team
- Ensures all information is maintained and up-to-date, with current versions available when needed.
- Prevents unauthorized or unintended use of outdated or irrelevant information.
- Maintains traceability and proper labeling of documents and files.
- Ensures the protection, storage, and disposal of obsolete documents according to retention periods.
- Keeps the documented information procedures updated and consistently implemented.
2. Internal Quality Audit Team
- Conducts internal quality audit to determine conformity of the QMS to the planned arrangements, to the requirements of the International Standard and to the quality management system requirements established by the Agency.
- Prepares audit plan, coordinates, facilitates and implements the Agency’s Audit Program.
- Identifies the necessary resources for managing the Agency's Audit Program.
- Monitors and maintains documented information as evidence of implementation and corrective action/s taken.
- Implements procedure for IQA and provides criteria for the selection of Internal Quality Auditors.
3. Risk Management Team
- Performs oversight function in ensuring that the established risk controls and related activities are consistently implemented.
- Plans and coordinates effective and efficient use of risk control tools.
- Ensures that risk-related information are maintained and retained.
4. Knowledge Management Team
- Determines the knowledge necessary for the operation of processes for achieving conformity of services.
- Coordinates with the different Agency units to acquire additional knowledge and update the Agency’s Organizational Knowledge Bank.
- Ensures that the Agency’s Organizational Knowledge is responsive to changing needs and trends.
- Maintains organizational knowledge and make it available to the extent necessary.
5. Training and Education Team
- Prepares a communication and promotions program to promote awareness on the Agency’s QMS.
- Organizes training, orientation, briefing, cascades sessions and other similar activities relevant to dissemination of important information and/or transfer of knowledge relating to Agency’s QMS.
- Coordinates with resource persons in providing the necessary collaterals, training and workshops needed to implement the QMS.
Prepares and disseminates dam operation notices and communication to all concerned agencies.
Prepares purchase requests, annual procurement plan and project procurement and management plan.
Prepares weekly, monthly and annual preventive reports.
Monitors 24/7 the Magat and Maris reservoir water level for computation of inflow and outflow.
Implements daily Irrigation Diversion Requirements.
Assists in the operation of Flood Forecasting and Instrumentation Section.
Assists in the preparation of work procedures/schedules, cost estimates and specifications.
