As a Virtual Assistant at Captain Jay's, I am responsible for a variety of administrative and operational tasks that support the daily functions of the company. My duties include performing phone checks for all store locations, assessing and rating the quality of their responses during calls. I also manage the clearing of applications on platforms like Indeed and Betterteam, ensuring a smooth recruitment process. Additionally, I update deposit slips and create weekly summaries to track financial transactions, as well as compile a feedback summary to monitor the submission of deposit slips and confirm whether trash collection has been completed at each store. I handle incoming calls for the corporate office, providing customer support and relaying information as needed. Another key responsibility is updating records for new employees, ensuring their first-day details are accurately documented.
During my Bookkeeping Training with QuickBooks, I gained a solid foundation in basic bookkeeping principles and learned how to accurately enter US client business transactions using QuickBooks accounting software. Throughout the program, I was introduced to essential bookkeeping concepts such as journal entries, ledgers, and the accounting cycle, while receiving hands-on experience with sample business scenarios. This practical training allowed me to apply my learning by entering various business transactions, generating financial reports, and reconciling accounts within QuickBooks. I also had the opportunity to engage in discussions that helped troubleshoot common bookkeeping challenges, further enhancing my understanding of financial record-keeping and reporting for US-based businesses
I mastered fundamental skills in data management, including operating Microsoft Office programs, navigating Google Workspace, and performing efficient online searches. I learned to upload files to Google Drive, create and share documents using Google Docs, and set appointments with Google Calendar. Additional skills include data scraping, using file conversion tools, and employing tools like LastPass for digital security and Otter for transcription. These skills make me proficient in data entry, information organization, and administrative tasks.
I developed essential skills in medical administrative support, including managing patient scheduling, appointment reminders, and cancellations. I learned to maintain electronic health records (EHRs), process medical billing and coding, and perform transcription and scribing tasks. I also gained an understanding of HIPAA compliance and the US healthcare system, preparing me for roles that demand a strong grasp of medical administrative processes, data entry, and client communication.
