• Acts as a Supervising Officer that provides assistance to the Head in developing and achieving the Team’s objectives, strategies, and activities. Assists in monitoring the Team’s performance against plans, analyzing deviations from plans, pinpointing areas for improvement, and directing appropriate courses of action to ensure prompt and proper solution to problems.
• Maintains good working relations with colleagues in the System as well as with external entities regarding any matter affecting the operations of the Team. Ensuring that necessary processes are in place and that authorities and responsibilities are properly delegated for efficient and effective operations of the Team, subject to adequate controls. Directs, guides, develops, and motivates staff directly supervised and evaluates their performance.
• Handles initial screening of received claim applications with supporting documents ensuring completeness, accuracy, and authenticity before approval for release of the Head. Review and signing of correspondence, memoranda, and reports pertaining to the Team’s activities. Corresponds to complaints and requests for assistance received over the counter, thru Customer Relations Management System (CRMS), emails and phone calls.
• Handles preparation of requests, reports, and memo referrals to concerned units.
• Acts as a front-line reliever in the absence of a Team member. Screens and receives claim application documents.
• Gathers and collates data for the preparation of various reports and memorandum requests.
• Reviews, screens and checks incoming reports, plans, programs, and other documents in accordance with established procedures.
• Handles the Procurement of office furniture and equipment, Employee Attendance and Monitoring, Postage and mailing activities, preparation of Disbursement Vouchers, ISO Monitoring Tools and Reports, Office Inventory and different budgetrelated requests.
• Attends to telephone calls and corresponds to received emails.
• Provides assistance to transacting clients/members over the counter including document appreciation, screening and receipt of their claim application and documentary requirements.
• Using computer application systems for viewing, encoding and verification purposes.
• Preparation of correspondences and daily reports for referral to the concerned unit.
• Perform other related duties that may be assigned from time to time.
