• Serve as the point person for office manager duties including:
• Maintenance
• Mailing
• Supplies
• Equipment
• Billing
• Errands
• Shopping
• Schedule meetings and appointments
• Organize the office layout and order stationery and equipment.
• Maintain the office condition and arrange necessary repairs.
• Partner with HR to update and maintain office policies as necessary.
• Organize office operations and procedures.
• Coordinate with IT department on all office equipment
• Ensure that all items are invoiced and paid on time
• Manage contract and price negotiations with office vendors, service providers and office lease
• Manage office G&A budget, ensure accurate and timely reporting
• Provide general support to visitors
• Assist in the onboarding process for new hires
• Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
• Liaise with facility management vendors, including cleaning, catering and security services
• Plan in-house or off-site activities, like parties, celebrations and conferences
• Arranging flights, insurance and accommodation
• Using a booking system to secure holidays
• Collecting and processing payments
• Advising clients on travel arrangements, e.g. visas and passports
• Sending out tickets to clients
• Keeping clients up to date with any changes
• Dealing with complaints or refunds
• Organizing and preparing company’s communication including: newsletters, master calendar, customer complaint logs and resolutions
• Maintaining, auditing, consolidating, managing divisional trackers, agreements, site listings, contact list, exemption reporting, and agent ratings
• Processing UAE Tourist Visa for all nationalities.
Oversee ticket sales in all water station terminals
• Assist and mentor agents in handling more difficult situations
• Assist and evaluate the team by performing the task with them and completing paperwork for RTA
• Fill in for customer service agents who are on leave for smooth flow of the operations
• Compile and print reports on daily ticket sales and re-charge for NOL
• Prepares Customer Service Agents work schedule and leave administration
• Works with management on customer service initiatives
• Reports to senior management /personnel all issues pertaining to Customer Service, as and required
• Reconciling money at the end of the day, and handover to bank representatives for deposit
• Monitors Customer Service activities in all station on a daily basis
• Performs general administration duties, as and when required by the department
Analyzing engagement data, identifying trends in customer interaction and planning digital campaigns to build community.
