Integrated Management Systems Staff
BASIC FUNCTON
• Handle incoming and outgoing communication of the Integrated Management Systems and maintain an organized and updated file of all Management Systems documents and records.
• Assist in the maintenance of Integrated (QEOHS) Management System.
• Shall strictly comply and enforce environmental, health safety rules and regulations.
REGULAR/ROUTINE ACTIVITIES
1. Encode data, prepares reports and other documents needed for the effective implementation of the Management Systems.
2. Receive and comply with the instruction from superior regarding the day-to- day performance on the maintenance of QEOHS certificates. This includes the following:
a. Assist in the conduct of periodic audits.
b. Follow-up the status of corrective actions, action plans/ programs
c. Verify if corrective actions, action plans/ programs are implemented within set time frames.
d. Monitor the effectiveness of the Corrective Actions and Risks/ Opportunity
e. Plans carried out to eliminate/ mitigate the nonconformities and identified significant risks and opportunities.
3. Ensure that IMS documents and records are well kept and protected.
OCCASSIONAL / SPECIAL DUTIES:
1. Assist the Internal Audit Team in coordinating resolution of nonconformities, observations and other internal audit concerns.
2. Assist in any external and internal training activities headed by department.
3. Conduct QEOHS awareness to new hired employees.
4. Assist superior in the planning stages of any Integrated Management Systems transition.
5. Assist superior in formulating new documents and if revision is necessary.
Internal Lead Auditor
BASIC FUNCTION
The lead auditor manages a team of internal auditors in the performance of internal audits, ensuring that internal audit comply with applicable standards, regulations, company owned requirements and guidance (e.g., ISO 19011) and that resulting reports are fair, impartial and useful. The lead auditor is also responsible for selecting competent internal auditors and providing the auditors with information and other resources they need to carry out the QEOHS management system audit. Share knowledge and skills within the department in addressing human resource development needs.
REGULAR/ROUTINE ACTIVITIES
1. Manages a team of internal auditors.
2. Develops procedure and supporting documents for the conduct of internal audit.
3. Develops and/or review audit programs and audit plans and other related internal
audit documents.
4. Leads the internal auditors and participates in internal audits when needed.
5. Conduct auditor’s briefing, opening meeting and closing meeting for internal audit.
6. Assists audit team in developing audit reports, present audit reports on closing meeting for final agreement between internal auditors and auditees.
7. Presents the final results as well as the status of the findings on Annual Management Review.
8. Assists with the follow-up and ensure closure of findings without undue delay.
9. Assists and works in conjunction with auditees during the course of internal audits.
10. Develops a summary of audit findings in the corrective action log.
11. Evaluates post IA performance of auditors and recommend to Management Representative for the selection/ appointment of other audit team members.
12. Evaluates risks and opportunities of internal audit process.
13. Ensures that internal auditors acquired the necessary competence in auditing Quality, Environment and Occupational Health and Safety Management System.
14. Evaluate internal auditor’s competency every after audit as well as the trainee/ trainees to ensure readiness prior to audit independently.
OCCASSIONAL / SPECIAL DUTIES
1. Develops a training program/ plan for internal auditors.
2. Conduct echo seminar when external training is acquired.
3. Review procedures and other internal audit documents especially when there are changes on the process or as directed by the top management or affected by the revision of the standard requirements.
