• Ensure a warm friendly welcome to client or visitors at all times.
• Answering and screening phone calls.
• Receive, sort and distribute letters, packages and make a courier booking.
• Monitor the stationery and pantry supplies and place an order when necessary.
• Send an email request for the updated price of the products from the Supplier or vendor.
• Check all the details of the Proforma Invoice and get approval from the Managing Director.
• Send confirmation email to the Supplier to proceed the order.
• Process the payment of Commercial Invoice of the Supplier through bank transfer.
• Apply for the visa of the new employees from DMCC portal and health insurance.
• Printing , scanning and filing of documents.
DATA ENTRY / BOOKKEEPING
• Entering data for all the expenses and bank statements in QuickBooks application.
• Handling, managing of Petty cash, document expenses and hand in reports.
• Preparing Sales invoice and update the record in excel sheets.
• Preparing Shipping Instructions for the goods order from Supplier.
• Collect and review the timekeeping information of the Employees, prepare and issuing the cheques.
• Preparing offer letter for the new Employee and get sign to Managing Director.
• File and update documents, contact information of employees, customers, or suppliers.
• Maintain and manages all important documents related to all projects/works at site and ensure that it is easily accessible and efficiently stored.
• Provide any administrative assistance to project manager / Engineers and maintain accuracy of the project documents/records.
• Order and distribute stationary as per requirement.
• Process payments for Supplier / stationary invoices etcetera
DATA ENTRY
• Received, and entering data of staff/workers
• Preparing gate pass for staffs and visitors.
• Assisting staff/worker for sending leave application and other related work to HR Department.
• Preparing and sending attendance of Site Staff to Head Office (HR Department) in monthly basis.
• Receive, register and distribute of all drawings and documents as per agreed distribution matrix
• Stamping the drawing (received, superseded, master, controlled, IFC, etc.)
• Sending Technical Query, mark up drawings to Subcontractor
• Filing and scanning
• Circulating and sending emails
• Maintain the files and control logs as required by the project.
• Uploading document and drawings in E-room and Petrocept dc.
• Compiles, sorts, and verifies accuracy of data to be entered.
• Conduct other general office duties, participate in audit and assist as instructed.
