- Perform reception duties, answer main office line, respond to tenant requests as well as walk in.
- Responsible for receiving all maintenance calls, emails and/or requests.
- Effectively and accurately communicating with tenants on how request will be handled.
- Order and manage all office supplies and maintain office equipment.
- Develop and maintain an effective line of communication with tenants, residents and contractors.
- Maintain and keep accurate all tenancy information relating to address, phone numbers and other contact information.
- Assist in handling of emergency situations.
- Carry out regular property inspections and take corrective action as needed.
- Prepare reports, newsletter and notices in a timely manner.
- Handle incoming and outgoing telephone calls in a courteous and detail-oriented manner.
- Provide monthly reports in absence of Facility Assistant.
- Initiates correspondence, forms and other related documents and coordinate the flow of information.
- Schedule and confirm appointments for the maintenance works with residents and contractors (Air condition, Fire Alarm testing, Pest control, landscape maintenance etc.)
- Updating the records in the system for proper documentation.
- Provide prompt resolution to customer inquiries by providing accurate information.
- Follow up in a timely manner to ensure customer satisfaction.
- Understand all the programs, systems and procedures necessary to perform job effectively and efficiently.
- Maintain diplomacy and tact when dealing with upset and escalated calls.
- Escalate customer complaints and/or calls through the appropriate channels to management.
- Make recommendations to implement improve process.
- Meetings and events preparation.
- Receive payments for bill and modification request.
- Responsible for accepting and arranging bookings of lesson.
- Recording and updating guest and student’s profile.
- Prepares appointment cards.
- Follow up proper tee time booking for oncourse lesson.
- Accept payments and ensure all sales are properly logged and recorded. Maintaining an organized filing system.
- Answer telephone calls in a courteous manner, offering assistance when necessary. Taking messages when the concerned person is not available. Make a phone call on behalf of the management when necessary. Entertain a polite manner all club members and visitors with related inquires.
- Assisting the management to the personnel in finding the telephone numbers of the person the need to call. Ensure that all contact numbers are updated from time to time.
- Comply from income auditors/account staff instruction.
- Other duties that may be assigned by the department head.
