Duties and Responsibilities:
Bookkeeping:
- Log deposits and expenses in Quickbooks
- Keep track of unpaid invoices
- Reconcile bank accounts
- Update recurring invoices and add monthly supplies
- Enter subcontractor info and update recurring invoices
- File South Dakota sales tax every month
HR & Admin:
- Conduct New Hire background checks and handle E-Verify
- Help send out notes and schedule interviews via Google Voice number.
- Edit time cards in Open Time Clock
- Upload subcontractor salaries and fix time card errors in Open Time Clock
- Prepare payroll reports and log hours
- Post safety messages in Open Time Clock
- Creating new users in Open Time Clock upon new hire staff and ensure all messages they need
are sent out
- Check LinkedIn page for work anniversaries, birthdays, etc., and comment
Operations:
- Dispatch specialty work orders to the correct clients and track them
- Track supplies, key checkouts, and inventory
- Send vendor follow-up emails or texts
- Maintain Notion with up-to-date info, contracts, and pricing
- Manage certificates of insurance for both Optimal Prime and subcontractors
- Make updates to the backend of "Google Sites."
- Create and optimize SOP's on company's Help Page
- Help create job/business proposal
Marketing/Social Media:
- Schedule and post social media content for both Janitorial and Web Design companies
- Manage Mailerlite email marketing and email lists
