• Assists the Front Office Manager in planning, organizing, controlling and leading the daily operations of the Front Office Department by ensuring that all tasks are performed in accordance with the established hotel standards and procedures.
• Oversees daily Front Desk duties and activities (check-in and check-out process).
• Attends to all guest issues and concerns. Offers solutions and alternative to complaints.
• Handles any operational challenges which occur in the absence of the Department Head.
• Check and monitor daily room blockings.
• Prepares and checks for VIP’s arrival and escort guests for an in-room check-in.
• Handles open high or credit balance of regular and long staying guests.
• Assists in replenishment of Front Office cash float and ensure that it is updated and sufficient for Front Office daily operations.
• Prepares the working schedule for the Front Office Staff and Supervisors and submit to Front Office Manager for approval.
• Attends coordination meetings for group arrivals.
• Prepares monthly report of revenue.
• Directs and coordinates any hotel emergencies and needs in the absence of the Front Office Manager.
• Prepares incident report or complaint handling form submitted to the Front Office Manager.
• Conducts daily briefing with regards to daily hotel operation.
• Prepares memo or notice to explain to associates with slip-ups on hotel operation.
• Weekly monitoring of Front Office supplies and ensuring that are sufficient for the daily operations.
• Acts as Manager-on-Duty during weekends based on a roster of assignments. Oversees overall hotel operations and reports directly to the General Manager.
• Handles guest registration upon check-in and settlement of bills upon check-out.
• Handles foreign exchange transactions.
• Responsible for facilitating the smooth transaction of arriving and departing guests.
• Handles guests’ incoming and outgoing mails, parcels, messages and others.
• Being the first employee that meets guests upon arrival and the last to bid farewell to the guests.
• Conducts showroom for potential clients.
• Handles all incoming and outgoing calls with utmost courtesy and provides correct information at all times.
• Handles duties of concierge such as airline confirmation, flight revalidation, tour bookings, car/limousine bookings, etc.
• Handling / Accepting reservations inquiry, confirmation, amendments, special requests, online bookings by mail, telephone or fax simile.
• Responsible for managing, receiving, processing, confirming, upselling and cancellation of all reservations for the hotel.
• Responsible for any business center and meeting room bookings and issues.
• Handling night audit procedures and preparing the necessary reports.
