Order Entry Specialist is responsible for accurately processing customer orders and ensuring excellent customer service.
Duties and Responsibilities:
Recording Customer Information: Enter customer details such as name, address, account number, item number, price, and any sales or promotions into a central database.
Processing Orders: Ensure orders are entered accurately and promptly and inform customers of expected delivery dates.
Customer Service: Handle customer inquiries, complaints, and follow up on orders to ensure customer satisfaction.
Inventory Management: Check inventory levels to ensure orders can be fulfilled and manage any discrepancies.
Payment Processing: Collect payments, set up payment plans if necessary, and ensure payment information is accurate.
Appointment Coordinator is the primary point of contact between the Dealership and their customers. With the focus always on customer service, the appointment coordinator schedules routine and unplanned maintenance for vehicles. The goal is always to build and maintain positive relationships between both parties.
Responsibilities are primarily phone-based and include, but are not limited to, the following:
Receive and respond to inbound calls from customers who want to schedule service with their dealership.
Complete outbound calls to customers regarding vehicle maintenance recommendations, recalls, appointment confirmations, and customer satisfaction after a dealership visit.
Respond to all customer inquiries by listening to understand, showing empathy, and gathering all applicable information before recommending solutions.
Team Manager is responsible for overseeing a team of agents, ensuring that they meet performance targets and deliver high-quality service. This role involves managing daily operations, providing coaching and support, and maintaining client satisfaction.
Duties and Responsibilities:
Team Management: Supervise and manage a team of agents, including monitoring their performance, productivity, and adherence to company policies.
Performance Monitoring: Track individual and team performance metrics such as quality scores, average handle time, customer satisfaction ratings, and sales targets.
Coaching and Training: Provide ongoing coaching, training, and development opportunities to enhance team members’ skills and knowledge.
Work Allocation: Assign tasks and projects based on team members’ skills and workload capabilities.
Quality Assurance: Ensure that quality standards are met by conducting regular audits and providing feedback to agents.
Client Interaction: Maintain effective communication with clients to understand their needs and ensure their satisfaction.
Conflict Resolution: Address and resolve any issues or conflicts within the team promptly and effectively.
Reporting: Prepare and present regular reports on team performance to upper management.
Analyzing engagement data, identifying trends in customer interaction and planning digital campaigns to build community.
