As a Finance Officer / Accounts Payable, I am responsible for ensuring the efficient management of financial operations, particularly in handling payables, maintaining accurate records, and supporting the organization’s financial integrity. My key responsibilities include:

Payables Management

Prepare Check Vouchers for all payables, including major and minor suppliers, ensuring they are forwarded to the Central Office (CO) for counter-checking and proper recording of expenses.

Perform payments to suppliers via bank transactions, ensuring that deposit slips, along with BIR Form 2307, are emailed to the suppliers. Additionally, secure valid original invoices for all transactions.

Notify suppliers regarding the availability of check payments for pick-up and ensure valid original invoices are provided during the process.

Procurement and Supplies Management

Prepare Purchase Orders (POs) and receive incoming supplies to maintain smooth operations.

Oversee store and studio supply requests and perform monthly inventory monitoring to ensure adequate stock levels.

Petty Cash Fund (PCF) Management

Manage the Office Petty Cash Fund (P9,000.00), ensuring funds are available and accounted for.

Prepare and submit PCF liquidation reports for both office and store every payroll cut-off.

Budget Preparation

Prepare and allocate the monthly meeting budget for store and Pilates studios at the end of each month, following the payroll cut-off schedule.

Logistics and Filing

Prepare transmittals for store/studio documentation and coordinate with DHL for pick-ups.

Maintain proper filing of expense records to ensure all expenditures are supported by valid original invoices and organized for easy retrieval.

Key Skills and Competencies

Strong attention to detail to ensure financial accuracy and compliance.

Proficient in handling and managing petty cash and expense liquidations.

Effective communication skills for liaising with suppliers and internal teams.
