Actual Responsibilities:
• Prepare monthly general payroll and remittance summaries, including deductions like insurance, loans, and benefits, for permanent and contract employees.
• Compile and organize petty cash expenses for office liquidation and replenishment.
• Post all journal registry transactions to the general ledger and create the monthly trial balance. Additionally, maintain subsidiary ledgers not managed by the division, reconcile them with controlling accounts, and prepare periodic schedules.
• Analyze accounts with unusual balances, generate journal vouchers for necessary adjustments and corrections.
Other responsibilities (HR and Administrative):
• Verify monthly attendance and leave balance reports against Daily Time Records (DTR) for permanent and contract employees.
• Serve as a member of the Personnel Evaluation and Selection Committee (PESC) for office hiring and recruitment activities.
• Assess candidate qualifications for vacant positions.
• Coordinate and schedule applicant screening processes (Examination, Interview, Background Investigation).
• Generate various HR certifications (employment, leave, designations, reassignments).
• Act as the primary liaison with different agencies for employee insurance and benefits.
• Prepares monthly general payroll and a summary of deductions from permanent and contract employees' payrolls, including insurance, loans, and other benefits.
• Collects and verifies Daily Time Records (DTR) of both permanent and contract employees, creating a monthly attendance and leave balance report.
• Performs administrative tasks for authorities, including typing communications for transmission to different units, receiving calls, collating messages, and routing them to relevant parties. Also oversees administrative activities such as monitoring and consolidating reports from branch and district offices for review.
• Facilitates and processes procurement requests for office supplies and equipment, generating purchase request, purchase order, and bid abstract reports.
• Prepares a summary of petty cash expenses for office expense reimbursement and replenishment.
• Ensured the accuracy and completeness of data by verifying and correcting errors, inconsistencies, or discrepancies in the data encoded in the computer systems or databases.
• Collected and organized the bibliographic information of library resources as provided in the process slip and other paper documents or digital files.
• Ensured the data security and confidentiality of the information encoded in the system by following established protocols and procedures.
• Prepared reports such as inventories of the library's resources, statistics, and summaries.
