• Manage the filing system and documentation by creating shared folders to be accessed by managers and heads for their reference.
• Ensures that the company office policies, procedures, and guidelines are updated and maintained.
• Maintain contact lists in Outlook and ESC and act as the point of contact for clients.
• Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
• Transcribe videos and audios as needed by the company.
• Generate, process, and distribute invoices to clients accurately and in a timely manner.
• Ensure the accuracy of billing information, including rates, quantities, and discounts.
• Follow up on outstanding invoices, resolve billing discrepancies, and address client inquiries or concerns regarding payments.
• Create and maintain various reports, spreadsheets, and databases to track financial data, project progress, or other relevant information.
• Review employee performance and create reports to help CEO in making decisions regarding salary raise, giving incentives, or termination of employment.
• Compile and analyze data to generate reports and summaries for management review.
• Present information in a clear and concise manner, ensuring accuracy and completeness.
• Assist in the recruitment process by sourcing and identifying potential candidates through various channels, such as job boards, social media, and referrals.
• Review resumes and applications, pre-screen candidates, and conduct initial interviews to assess qualifications and suitability.
• Coordinate and schedule interviews with candidates, hiring managers, and other relevant parties, ensuring a smooth and efficient process.
